Beauty by Beverley Ann Privacy Policy

This policy explains how Beauty by Beverley Ann collects and uses personal information about website visitors, people who make enquiries, and current and former clients. It applies under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. About me

2. Information I collect

Depending on how you contact me and the services you enquire about or book, I may collect:

  • Your name and contact details, such as your email address, phone number and address.

  • Details about your wedding or event, such as the date, location, services requested and number of people.

  • Information you include in an enquiry or other communication.

  • Booking, payment confirmation and related business records.

  • If you choose to tell me, information about allergies, sensitivities or medical conditions that may affect the safe provision of a service.

If you leave a comment on my website, the site may collect the information shown in the comment form, as well as your IP address and browser information to help detect spam. An anonymised string created from your email address may be provided to Gravatar to check whether you use that service. After a comment is approved, your profile picture may be visible to the public beside it.

If you choose to save your name, email address and website when leaving a comment, cookies may store those details for up to one year.

3. How I collect information

I usually collect information directly from you when you complete an enquiry form, contact me, discuss a quote or make a booking.

Wedding enquiry forms are hosted and processed using Jotform. Jotform receives the information you submit so that I can access and respond to your enquiry.

I may also receive information from service providers who help me run my business, or from another stylist or makeup artist involved in a booking, where this is relevant and has been discussed with you.

4. How I use information

I use your information to:

  • Respond to your enquiry and check availability.

  • Prepare and provide a quote.

  • Arrange and manage a booking under our booking agreement, and provide the services you have booked.

  • Keep the business, payment and tax records I need.

  • Protect and maintain my website, including detecting spam.

Where you provide information about allergies, sensitivities or medical conditions, I use it only to assess suitability and provide services safely. You can choose whether to provide this information, but I may be unable to provide a service safely without it.

My lawful bases for using information

I rely on the following lawful bases, depending on the purpose:

  • Taking steps at your request before a booking agreement: to respond to your enquiry, check availability and prepare a quote.

  • Booking agreement (the UK GDPR lawful basis called “contract”): to manage your booking and provide the services you’ve agreed to book.

  • Legal obligation: to keep records where required for tax, accounting or other legal purposes.

  • Legitimate interests: to protect and maintain my website, prevent spam and manage my business, where those interests are not overridden by your rights.

  • Explicit consent: if you choose to provide health information, such as details about allergies or medical conditions, for me to assess whether I can safely provide a service. You can withdraw this consent, although I may then be unable to provide the service.

Sharing information

I may share relevant information with:

  • Jotform, which hosts and processes submissions to my wedding enquiry form.

  • Providers that help me host my website or manage business communications.

  • A collaborating stylist or makeup artist where they are needed for an agreed booking and this has been discussed with you.

  • A public authority where I’m legally required to provide information.

I use service providers to help run my business. They may process personal information on my behalf to provide their services.

Jotform and its subprocessors may process information in countries outside the UK, including the United States. Where required, appropriate safeguards are used for international transfers.

Automated decisions

I do not use your personal information to make decisions about you solely through automated processing.

5. How long I keep information

I keep personal information only for as long as I need it for the purpose I collected it.

I keep enquiry information while I’m responding to your enquiry and preparing or discussing a quote. If you don’t book, I’ll delete it when I no longer need it for these purposes.

If you book, I keep the information needed to manage your booking and provide the services. I may retain relevant records for longer where needed to meet legal, tax or accounting requirements.

I review the information I hold and securely delete or anonymise it when I no longer need it.

6. Your rights

Depending on the circumstances and the lawful basis I use, you may have the right to:

  • Be informed about how I use your information.

  • Ask for a copy of the information I hold about you.

  • Ask me to correct inaccurate or incomplete information.

  • Ask me to delete information when I no longer have a valid reason to keep it.

  • Ask me to restrict how I use your information.

  • Object to certain uses of your information.

  • Request a copy of certain information in a portable format.

  • Withdraw your consent where I rely on consent.

To exercise a right, contact me using the details in the “About me” section. I may need to confirm your identity before responding. I’ll usually respond within one month.

You can find guidance about your data protection rights on the Information Commissioner’s Office website.
